The overnight turnaround

In Europe or America, a complete set change between two evening events on the same ground is a conversation that ends with a number. In Thailand it is a normal part of the job. A lawn that held a sangeet stage, a dance floor and lighting rig at midnight can hold an entirely different dinner set, different floral installation and different lighting design by the time the first guest comes down for coffee, and the crew that did it will be back that afternoon for the next build. This is a function of labour depth and a working culture that is genuinely unfazed by overnight work, and it is the reason a multi day programme with three distinct looks is affordable here and effectively is not in most of Europe.

The design implication is that you should ask for more than you would at home. Couples arrive having pre emptively cut ideas on the assumption that a second full build is unaffordable. In Thailand the constraint is more often the ground itself, whether the space can be cleared and rebuilt in the hours available, than the cost of the labour to do it. We work that out early with a build schedule drawn against the programme, because the thing that actually kills an overnight change is a floor plan where the second set cannot be delivered until the first is struck and the trucks cannot reach the lawn.

Staging, sound and lighting

Bangkok and Phuket hold current professional touring inventory: line array systems, moving lights, LED wall in the sizes a large event needs, and control desks that a visiting engineer will recognise. Rigging and structural standards at the reputable suppliers are serious, and for anything with weight above people's heads we require certification and inspection rather than assurance. Outdoor builds carry the specific Thai considerations that inexperienced planners miss: humidity and salt air on electronics near the sea, afternoon storms in shoulder months requiring covered positions for control and amplification, and sand or soft ground that will not take a truss base without proper decking.

Sound outdoors is where most events underperform, and it is usually a design failure rather than an equipment one. Open air kills the low end and the sea breeze carries sound unpredictably, so a system specified for an indoor room will sound thin on a beach at eight in the evening. It also carries sound towards neighbours, which is how noise complaints and early shutdowns happen. We specify against the actual site, we insist on a full technical rehearsal at event volume at event time of day, and we establish the venue's hard finish time in writing at contracting rather than discovering it at half past eleven.

Talent, international and regional

Booking an international name is a global price plus long haul travel and accommodation for a party that is usually larger than the client expects, along with a technical rider that may require equipment brought in specially. That is entirely doable and we do it, but it should be budgeted as a single large line rather than folded into entertainment, and it must be contracted early with the immigration position handled properly, because foreign performers working in Thailand engage work permit and visa requirements that are not optional and not the artist's problem to solve on arrival.

Regional talent is the underused answer. Bangkok, Mumbai, Singapore, Manila and Seoul supply performers, bands, DJs and show productions of genuine international standard at a fraction of the transatlantic cost, and Indian wedding entertainment in particular has a deep and excellent bench that travels to Thailand constantly and knows the venues. Thai classical performance, drumming, khon masked dance, lanna craft and ceremony from the north add something a guest list cannot see anywhere else, and used with respect rather than as decoration they are frequently the element guests remember. A good programme usually mixes: one imported headline moment, a strong regional core, and one genuinely local element.

Fireworks and pyrotechnics

Fireworks are available, they are impressive, and they sit inside a permission regime that must be respected. Displays require authorisation from local authorities and the police, the requirements differ by province and by proximity to residences, hotels, hospitals and protected areas, and coastal sites bring additional considerations around marine traffic and wildlife. Legitimate operators hold licences and public liability insurance, and we inspect both rather than accept a verbal assurance. The practical planning points are that applications need lead time measured in weeks rather than days, that neighbouring properties should be notified as a matter of courtesy and often of requirement, and that a display is subject to wind conditions on the night with a real possibility of cancellation.

The alternatives are worth knowing. Cold spark systems and indoor pyrotechnics have different and generally lighter requirements while producing much of the visual effect. Drone light shows have become a genuine substitute at large events, silent, repeatable and free of fallout, though they carry their own aviation permissions. Where wildlife, hospitals or conservative neighbours are a factor, quiet options are often the better answer as well as the easier one.

Drones

Aerial filming has become standard on large occasions and the rules in Thailand are real. Drone operation is regulated under the Civil Aviation Authority of Thailand with registration requirements, and there are restrictions relating to airports and controlled airspace, flight over people and crowds, altitude, and operation at night. Many resort areas sit close to airports, Phuket and Samui in particular, which is exactly where couples most want aerial footage, so the site specific position has to be checked rather than assumed. We use operators who hold current registration and insurance and who will produce the paperwork, and we build the aerial sequence into the schedule as a permitted activity at a defined time rather than something a videographer does opportunistically.

Alcohol, licensing and the boring layer

Serving alcohol at a private event engages Thai licensing rules, and the position differs between a licensed hotel or resort, where the venue's own licence generally covers the event, and a private villa or a non licensed site, where the arrangement has to be structured properly. There are also rules affecting sale hours and certain dates in the Thai calendar, notably several Buddhist holy days on which alcohol sales are restricted nationally, which has caught out more than one event planned around a date chosen for other reasons. This is checkable, it is not difficult, and it needs to be checked at the point the date is chosen rather than at the point the bar is being built.

• Confirm whether the venue's own licence covers your event or whether a separate arrangement is required
• Check the date against Thai holy days and any national restrictions on alcohol sale before committing to it
• Agree corkage and import handling in the venue contract, never afterwards
• Require certificates of insurance and current licences from every pyrotechnic, rigging and drone supplier
• Fix the noise limit and hard finish time in writing, including any different limit for outdoor areas
• Schedule a full technical rehearsal at event volume, at event time of day, on the actual ground

What Thai crews do exceptionally well

Three things, consistently. Physical build and turnaround, discussed above, at a speed that changes what is designable. Floral and installation work at volume, because the flower trade here is deep, fresh, and staffed by people who can install a large architectural piece overnight without it looking like it was rushed. And service under pressure, which is the least visible and the most valuable: a Thai banqueting team plating four hundred covers on a lawn in the humidity, without visible strain and without dropping the standard, is a thing to watch.

Where oversight is needed is design fidelity and written specification. The build will be executed; whether it matches what was in the client's head depends entirely on whether it was specified in drawings, materials, colours and dimensions rather than described in adjectives. That gap is where our role sits. We hold the production partners, we translate the design into specification, we inspect the build against it before anybody sees the room, and we remain the party the family holds responsible for the result rather than asking them to arbitrate between a designer and a contractor.

Fireworks, drone, amplified sound and alcohol rules in Thailand are specific, vary by province and change.
